   Schedule and procedures for Static Display and Static Judging at Jaypee Palace Hotel

Schedule:

9 Mar 08:
- 1400-1600 hours: Team mission brief (Teams/Judges/TST) (Location: Pool View, Jaypee Palace Hotel)

10 Mar 08:
- 0800 – 1000 hours: Teams set-up static displays/RDECOM Booth (Location: Diwan-e-Am)
- 0930-1830 hours: Evaluation of Design Features of Prototypes (Location: Boardroom)
- 1000 – 1400 hours: Static display room OPEN to attendees (Location: Diwan-e-Am)

11 Mar 08:
- 1100-1200 hours: Distinguished visitor (DV) tour of static displays (POC: Rob Michelson)(Location: Diwan-e-Am)
- 1100 – 1200 hours: Team leaders +2 brief DV tour (Location: Diwan-e-Am)
- 1200 – 1400 hours: Static display room OPEN to attendees/press (Location: Diwan-e-Am)
- 1200-1500 hours: Evaluation of Design Features of Prototypes (Location: Boardroom)

Static Displays:

Open times for attendees/DV/press to view the team static displays provides an opportunity for teams to present their work to peers, interested researchers, research sponsors and industry experts in an open academic environment.  Teams are requested to have personnel available with their systems at their assigned booth in the Diwan-e-Am Conference Room during the open periods described above.

Teams are responsible for the security of their equipment throughout the day on 10 Mar 08: 0800 – 1830 hours and 11 Mar 08: 1100 – 1500 hours.  Access to the static display room will be restricted to teams and organizers during all times except for the open periods on each day.  During open static display times, teams are free to work on equipment, conduct rehearsals with the Sim UGV/Team UGVs, conduct Sim UGV integration, and conduct rehearsals with Commandos.  The intent is to have at least one team member available to brief interested parties on the teams method of addressing the various aspects of the challenge.

During the DV tour, team leaders are the only team members required to be present at the team booth to present the system to the DV delegation.  Two additional team members are permitted to attend the DV tour with the team leader.

During times when a team is presenting to the judges, a representative from the organizers will provide security for the team’s booth.

Static judging:

Teams have 55 minutes to present to the judges.  Order of presentation will be determined by random draw on 9 Mar 08 Team Meeting.  Teams should follow the research paper guidance in preparing their presentation.  A projector with MS Powerpoint and Adobe Acrobat Reader will be available for use in the presentation room.  Teams should be ready 10 minutes prior to their scheduled times to begin presentations in the Boardroom. 

 A general guideline for time is offered below:

Introductions & Set-up – 5 mins
Presentation – 30 minutes
Judges Questions – 15 minutes
Wrap-up, tear-down, Exit – 5 minutes

A timer will provide cues to the presenters at the 20 minutes remaining, 10 minutes remaining and 5 minutes remaining points in the static judging period.  After the team departs, the judges will complete preliminary scoring prior to moving on to the next team.  Judges will normalize the scoring of each presentation after all presentations have been completed.
